Employee leave requests allow employees to submit leave requests that must be approved by a leave approver. The sections below provide information on the process for leave requests.

Enable Self-Service

Employees can only submit leave requests if they have been enabled for self-service. If you have not yet enabled employees for self-service, the following help article can assist:

Configure Your Leave Settings

Leave Calendar

In order to make it easier for employees to know which dates they should request leave for, and for approvers to know whether they should approve leave, you could give them access to a leave overview calendar. This calendar will show when all the employees in a company / pay point are taking leave or which dates they have requested leave for.

Once you have enabled the display of this leave overview calendar, the employees and approvers will have an additional Calendar option on the sidebar menu. You can enable the display of the leave overview calendar in the following way:

  • Go to Employees > Self-Service > Settings > Leave.
  • The first drop-down menu lets you choose which employees the leave approver(s) can see the leave overview calendar of – “All Employees” or only “Employees they can approve”.
  • The second drop-down menu lets you choose which employees’ leave can be seen by other employees in the leave overview calendar – “All Employees” or only “Employees in their Pay Point”.

Display Leave Balances

You can determine which leave balances employees can see when submitting a request:

  • Go to Employees > Self-Service > Settings > Leave.
  • Use the checkboxes to indicate which leave balances will be displayed in self-service. If you deselect a checkbox, employees will still be able to submit requests, even though their leave balance will not be viewable in self-service.

Note: If you have the Set minimum balance rule set up, the balance will still show in the error message if the leave request exceeds the balance set. The balance will also continue to show on the payslips until that is disabled separately. Please see the following sections of this help site:

Approval Groups

Once you have completed the initial Self-Service set up, your employees will be able to submit leave requests online using the same login credentials they do to access their payslips. Employees will be able to start submitting requests immediately; however, these requests can only be actioned once the company’s approval structure has been configured.
